Receptionist and Administrative Support

Quebec Office

Under the supervision of the Director of Operations in Quebec City, the receptionist’s main function is to manage the reception desk. This person also assists operations in many day-to-day administrative tasks.

Main Responsibilities and Tasks

  • Answer calls and transfer them to the appropriate people
  • Greeting customers
  • Manage mail and mailings (regular mail and various courier companies)
  • Perform various administrative tasks
  • Scanning, archiving, managing incoming documents (scan, email)
  • Management of the reception and conference room calendar
  • Processing incoming and outgoing mail, by mail or electronically
  • Support various departments (clerical tasks)
  • Performing layout and editing of documents
  • Other related tasks

Required skills

  • Bilingual: very strong oral and written communication skills (French and English)
  • No experience required
  • Customer oriented, responsive to needs and expectations
  • Good knowledge of the MS Office suite
  • DEC, DEP or AEC in administration, an asset
  • Great flexibility and ability to manage several files simultaneously
  • Autonomy, proactivity, resourcefulness, productivity, and organizational skills
  • Excellent team player, good communicator, good judgment, and interpersonal skills
  • Attention to detail
  • Ability to learn quickly
